The Customer Service Representative / Office Administrator plays a key role in maintaining a high standard of customer satisfaction and administrative efficiency within United Protective Technologies business operations. This position supports the company’s quality management system by ensuring customer requirements are accurately captured, documented, and fulfilled, while maintaining compliant records and communication practices.

Responsibilities

• Serve as the primary point of contact for customer inquiries and order status updates.

• Process customer orders in accordance with AS9100 procedures and quality documentation requirements.

• Maintain accurate customer records, including order history, communications, and shipping information.

• Coordinate with production, quality, and shipping departments to ensure on-time delivery and proper documentation.

• Create and maintain administrative records, including purchase orders, invoices, certificates of conformance and packing slips.

• Assist in preparation and control of documents and records as required by the AS9100 QMS.

• Support internal audits and external audits by providing administrative documentation and traceability records.

• Handle general office tasks such as answering phones, managing emails, filing, supplies inventory, and mail distribution.

• Monitor customer satisfaction and assist with the implementation of corrective actions for customer-related nonconformances.

• Escalate any potential risks or issues to management in a timely and effective manner.

Required Qualifications

• Must be a U.S. Citizen.

• Excellent communication and interpersonal skills, with a strong customer focus.

• Proficient in Microsoft Office (Word, Excel, Outlook); experience with ERP/MRP systems is a plus.

• Strong organizational skills and attention to detail.

• Ability to multi-task.

• Ability to handle sensitive and confidential information responsibly.

• Ability to sit, type, and use office equipment for extended periods.

• Occasional lifting of up to 25 lbs. may be required.

• Must be able to pass a drug screen and background check.

Desired Qualifications

• Working knowledge of AS9100 or ISO 9001 quality management systems strongly preferred.

• Associate or bachelor’s degree preferred.

Experience / Education

• High school diploma or equivalent required.

• 2+ years of experience in customer service or administrative support, preferably in a manufacturing or aerospace environment.
